Act as the first point of contact: answering phones, directing calls, taking messages, and managing the answering machine.
Welcome and check in visitors and contractors, issue badges, offer refreshments, and organise lunches when needed.
Oversee day-to-day management of the reception area and meeting rooms.
Manage all incoming and outgoing mail, including franking, sorting, and booking couriers.
Liaise with external contractors and service providers to ensure smooth operations.
Take minutes at internal meetings when required.
Conduct weekly stock checks and place orders for office supplies.
Arrange travel, hotels, and conferences for staff.
Support the Management Team by coordinating internal events.
Update weekly timesheets and liaise with the Operations Manager.
Raise purchase orders and manage procurement processes for all departments.
Create sales and purchase contracts, update tracking spreadsheets, and handle documentation for the Trading team.
Provide administrative support to the Managing Director and other departments.
Complete additional ad hoc admin tasks as needed.

Minimum 2 years' experience in a Receptionist, Office Administrator, or PA role.
Prior experience in purchasing/procurement is preferred.
Confident with Microsoft Office (Word, Excel, Outlook, etc.).
Strong verbal and written communication skills.
Excellent organisational and time management abilities.
Strong numeracy skills and a high level of attention to detail.
Comfortable working under pressure and handling multiple deadlines.
Self-motivated, proactive, and a team player with a positive attitude.
Willingness to learn new skills and contribute across the business.
